How to build a trip itinerary you will actually follow
A good trip itinerary is a simple plan by day: a few anchor places, meals nearby and some room to wander, with your bookings close at hand. Wander Off is a free trip itinerary planner app for iPhone and Android that lets you build exactly that in the Plan tab, keep flights and hotels in the Tickets tab and turn the plan into a journal once you are there.
What you are trying to do
When you sit down to plan a trip, you are really answering a few questions. What do I most want to see? Which days work for which things? Where will I eat? How do I get to it all without spending the trip in transit?
The result should be a plan that is easy to check on your phone, flexible when the weather turns and realistic about how much you can actually do.
Common itinerary mistakes
- Overpacking the days. Six stops a day looks great on paper and feels exhausting in person.
- Zigzagging across town. Picking places without thinking about where they are leads to hours on the road.
- Forgetting meals. You end up hungry in a neighborhood with nothing good nearby.
- Scattering the details. The plan is in one note, the hotel in an email, the tour confirmation in another email.
- Planning alone for a group. Then nobody else feels invested in the schedule.
Building your itinerary in Wander Off
1. Create an adventure
Each trip is an adventure in your travel trunk. Give it a name and dates. This is where the whole trip will live, from first idea to last photo.
2. Brainstorm into the Plan tab
Add every place that interests you: restaurants, sights, excursions, nightlife and shopping. Do not worry about order yet. Getting ideas out of your head and into one list is the first win.
Want a head start? You can copy a public adventure with Copy this trip and its places land on your own dates. The copy a travel itinerary page explains how.
3. Assign places to days
Now shape the days. A reliable method:
- Pick one anchor per half day. A museum in the morning, a neighborhood walk in the afternoon.
- Cluster by area. Put places that are near each other on the same day.
- Add a meal near each anchor. Lunch close to the morning stop, dinner close to the evening plan.
- Leave a gap. An open afternoon gives you space for a nap, a find or a rainy day swap.
4. Get input from your travel companions
Invite anyone joining you. Everyone on the trip can vote on places, which helps you cut the list down to what the group actually wants. Our group trip planner page goes deeper on running this with friends.
5. Book what you need
The Tickets tab holds flights, hotels and things to do booked in the app, and prices stay private. Having bookings in the same adventure as the plan means you are not digging through email at the airport.
6. Ask when you are stuck
Not sure where to stay or what to do on a free evening? The AI Travel Concierge answers questions and finds flights, stays and things to do in a chat. It is useful for filling gaps in a plan. See the AI travel planner page for examples of what to ask.
7. Travel from the plan, then log it
On the trip, today's plan is right there by day. As you go, use the Log tab to mark places visited, rate them, write a short review and pick a cover photo. Photos and videos land on the right day and place automatically. By the end, your itinerary has become a record of the trip.
A sample day that works
Here is the shape of a balanced city day, using Chicago as the example:
- Morning: an anchor like the Art Institute of Chicago, with coffee nearby first.
- Lunch: somewhere a short walk away so you do not lose momentum.
- Afternoon: an outdoor stretch, such as Millennium Park and the lakefront.
- Evening: dinner in one neighborhood and a nightcap close by.
That is three main ideas plus meals. It is full but not frantic. For a complete plan, see our Chicago weekend itinerary. Check current hours before you go, since they change.
Comparing ways to plan an itinerary
Spreadsheet
Some people love the control of a spreadsheet with a column for each day. It is precise, but it is clumsy on a phone, hard for travel companions to use and has nowhere to put photos or memories.
Notes app
Quick to start and always with you. Notes have no structure by day, no way for others to vote and no link to your bookings.
Group chat
Fine for tossing around ideas. As a plan it fails, because information scrolls away and nothing is ever settled.
Generic photo album
Great after the trip for pictures, but no help at all with planning.
An itinerary planner app
Wander Off combines the plan by day, group voting, booking, an AI concierge and photos in one adventure that works on the phone in your pocket.
Habits of people who plan great trips
- Plan the must dos, not the whole trip. Two or three highlights per day is plenty.
- Front load the big things. Put the stops you would hate to miss early in the trip in case plans change.
- Keep a backup list. Extra places you can drop in if you have time or the weather changes.
- Check details close to the date. Hours and reservation rules change, so confirm them shortly before you go.
- Log as you travel. A rating and a sentence per place turn your itinerary into advice for your next trip.
Plan it once, use it all trip
A great itinerary is not about cramming more in. It is about knowing your anchors, grouping by area and keeping everything in one place. Build your days in the Plan tab, keep bookings in Tickets, ask the AI Travel Concierge when you are stuck and let the Log tab capture the trip as it happens.
